Understanding permission profiles
Permission profiles let you decide what users can see and do in Workfeed. Whether it’s managing shifts, viewing other team members, or much more.
There are three default permission profiles: Standard, Manager, and Department Member. Each can be customized to fit your needs. You can also create your own permission profiles from scratch.
When you create a new user, they’re automatically assigned the Standard profile. If they’re assigned to a department, they’ll also get the Department Member profile.
Accessing permission profiles
To manage permission profiles, follow these steps:
Open the settings menu by clicking on the '⚙️' icon in the top-right corner → Click on 'Schedule' → Click on 'Manage permissions'
Default permission profiles
There are 3 default permission profiles:
Standard (Can see their own profile, shifts, and leave as well as the profile, shifts, and leave of other users in their department - the information they can see on other profiles depends on the settings in your input fields).
Manager (Can do everything in the 'Standard' permission profile as well as creating and editing both shifts and leave).
Department Member (Can see the profile, shifts, and leave of other users in their department - the information they can see on other profiles depends on the settings in your input fields).
These profiles can be edited just like the ones you create yourself. In addition to these, there’s also the Admin access level. Admins have full access to everything in the system.
Managing permission profiles
Below you can read how to create, edit, assign and archive permission profiles.
Creating a new permission profile
To create a new permission profile:
Open the settings by clicking on the '⚙️' icon in the top-right corner → Click on 'Schedule' → Click on 'Manage permissions'
Click the blue plus icon in the top-right corner.
Give the profile a name and description.
Select the permissions that apply.
Editing a permission profile
To make changes to a permission profile:
Go to your permission profiles (Open the settings by clicking on the '⚙️' icon in the top-right corner → Click on 'Schedule' → Click on 'Manage permissions').
Click on the profile you want to edit.
Adjust the settings as needed, then save.
You can edit both default profiles and any custom profiles you've created.
Assigning or removing permission profiles from users
To assign or unassign a profile:
Open the team list → Click on an employee → Click on edit profile → Click on permissions.
Select or unselect the relevant permission profile(s).
You can assign multiple permission profiles to a single user. The user will then get access to all permissions included in those profiles.
Archiving a permission profile
To archive (delete) a permission profile:
Go to your permission profiles (Open the settings by clicking on the '⚙️' icon in the top-right corner → Click on 'Schedule' → Click on 'Manage permissions').
Click on the profile you want to remove.
Click the orange "Archive" button in the bottom-right corner.
When a profile is archived, any permissions granted by that profile are removed from users assigned to it.
Overview of different permissions
Here’s a breakdown of the permissions you can control within each profile:
1. Own profile
Determine what users can see on their own profile. Most fields are always visible, but you can choose whether users should see their own wage. (Note: The 'Own profile' permission can only be used in the 'Standard' permission profile.)
2. Other profiles
Allow or restrict access to other users' profiles. If enabled, users can see basic details like name, department, role, and contact info (depending on your input field settings). If disabled, the user cannot view the team list or view other profiles.
3. Wishes
Decide whether users can submit availability wishes or not. (Note: The 'Availability wishes' permission can only be used in the 'Standard' permission profile.) This is turned on by default, but can be disabled by removing the permission from the 'Standard' permission profile.
4. Shifts
Control access to shifts of other users in the same department, there are three different options:
Allow users to see all shifts (select 'Can see other people's shifts').
Allow users to see and edit all shifts (select 'Can see and edit all shifts').
Only allow users to see their own shifts (remove 'Shift' permission).
5. Holiday (leave)
Manage visibility of leave and absence for other users:
Allow users to see all leaves in their department (select 'Can see other people's leave').
Allow users to see and edit all leaves in their department (select 'Can see and edit all leave').
Only allow users to see their own leave (remove 'Leave' permission). Note: If a leave overlaps with a shift and the user can see that shift, they’ll also be able to see the leave.
6. Shift tags
Control access to shift tags:
Allow users to see tags on their own shifts (select 'Can see tags on own shifts').
Allow users to see tags on all shifts (select 'Can see tags on all shifts').
Don’t show tags at all (remove 'Shift tags' permission)
7. Key Metrics
Control access to key metrics:
Select which key metrics the user should be able to see.
For the metric "Additional Revenue", you can also choose whether the user should be able to edit the field.

1. How do I edit a permission profile?
Open the settings by clicking on the '⚙️' icon in the top-right corner → Click on 'Schedule' → Click on 'Manage permissions' → Click on the profile you want to edit.
2. Can I assign multiple permission profiles to the same user?
Yes, a user can be assigned to multiple permission profiles.
3. Can I remove a permission profile from a user?
Yes, just go to the user’s profile → Click on edit profile → Click on permissions and uncheck the profile(s) you want to remove.
4. Can I delete a permission profile?
Yes. To archive (delete) a permission profile:
Go to your permission profiles (Open the settings by clicking on the '⚙️' icon in the top-right corner → Click on 'Schedule' → Click on 'Manage permissions').
Click on the profile you want to remove.
Click the orange "Archive" button in the bottom-right corner.
When a profile is archived, any permissions granted by that profile are removed from users assigned to it.
5. What happens when I delete a permission profile?
The user will immediately lose all access that was granted through that profile.
