You can archive employees who no longer work for your company. When an employee is archived, they are no longer able to login to their account and can't be assigned to shifts anymore. Historical shift and hours will remain within your account for payroll purposes. Should an employee return, you can easily restore their profile.
Archiving an employee
To archive an employee, open their profile from the team list, select 'Edit profile', scroll down, and click 'Archive user'.
You can choose whether the employee should be archived immediately or set a specific future date when their profile will be archived.
Restoring an employee
To restore an employee, open the list of 'archived users' in the team list.
Find the relevant employee and select 'restore'.
Decide if they should receive an invitation email or not. When you don't invite them, they won't be able to access the app until you do invite them.
FAQ
Do I have to pay for archived employees?
No, you only have to pay for active users in your Workfeed account. However, you still need to contact us in the support to adjust the number in your subscription if you downsize your amount of users.
What happens if I restore an employee and do not send them an email invitation?
If you restore an employee without sending them an email invitation, the employee will be restored and visible in the team list. However, the employee will not be able to login to their account until you send the email invitation.
Can I send the email invitation to an employee after I have restored them?
Yes, you can always re-invite an employee after you have restored them later by opening their profile and sending the email invitation.
Can I delete a profile permanently?
No, it is not possible to delete employees permanently, as we are required to store their data in compliance with EU regulations. When an employee is archived, their historical data remains on the account, so you can always access their completed shifts. If the employee returns, their profile can easily be restored.
