Use work hours profiles to break standard weekly hours down into specific days to ensure accurate overtime and leave tracking.

Work hours profiles allow you to specify how weekly standard hours are split into individual days of the week to ensure that your employees' overtime and leave can be tracked accurately.

In a work hours profile, you can define the following details:

  • An employee's standard weekly hours

  • Which days and times of the week an employee works

  • Whether an employee works on public holidays

  • Whether an employee's overtime should be tracked

How to create a new work hours profile.

To create a new work hours profile, open the settings menu and select ‘Time tracking’. From here, you can find ‘Work hours profiles’ and select ‘Manage profiles’. To create a new work hours profile, click on the blue ‘+’ icon in the top right corner of your screen.

Schedule interval.

Once you have named the profile, you can specify whether your schedule repeats weekly, biweekly or on a custom cycle:

  • If the schedule repeats weekly you can select 'Add one week'.

  • If the schedule repeats bi-weekly you can select 'Add two weeks'.

  • If the schedule is cyclic and repeats every 9 days for example, you can select 'Add a custom amount of days...'.

Working hours.

Once you have selected a fitting option, you can determine the exact workdays, hours, and breaks. The total hours for the profile are automatically calculated and displayed under the days.

Public holidays.

When you have determined the hours you can specify whether the employee(s) for whom this profile is intended work on public holidays.

  • If you leave this setting off, the expected hours on days where a public holiday occurs are set to 0h 0m (only applicable when the overtime bank or leave accrual is enabled).

  • If you enable this setting, public holidays will be seen as normal days on which an employee is expected to work (only applicable when the overtime bank or leave accrual is enabled).

Overtime tracking.

Finally you can specify whether the overtime of the employee(s) for whom this profile is intended should be tracked.

  • If you turn this setting off, overtime will not be tracked for the employee(s) assigned to this work hours profile.

  • When you turn this setting on, an overtime bank will be added to the profile of the employee(s) assigned to this work hour profile and their overtime will be tracked automatically.

How to assign a work hours profile to an employee.

You can assign a work hour profile to an employee from their profile. Open the team list, find the employee in question, click ‘Edit profile’, select ‘Overtime bank’, and click on ‘’Assign profile’’.

From here you will be able to define the start date of the work hours profile you are assigning to indicate profile should go into effect. Once you’ve defined the start date you click on ‘Assign profile’ to either assign an existing profile or create a new one.

Assigning an existing work hours profile profile

If you intend to assign an existing profile, simply search for the relevant profile and click on ‘Assign profile’. Optionally, you can define a date until which the work hours profile should be active. If it is to be assigned indefinitely, you can ignore this option. Once you’re ready to assign the profile you can click on ‘Update assignment’.

Assigning a new work hours profile

In case you want to create a new profile, you can click on ‘Manage profiles’ and click on the blue ‘+’ icon in the top right corner. Once you’ve created the profile you can save the profile by clicking on the blue ‘save’ button. Once you’ve saved the profile you can go back to the list with profiles by clicking on ‘​’←’. From here you can assign it to an employee by clicking on ‘Assign profile’.

How to edit a work hours profile

All your work hours profiles can be found in the time tracking settings. When you open the settings menu and select ‘Time tracking’, you will find ‘Work hours profiles’. Click on ‘Manage profiles’ to open the list with your profiles. Simply click on ‘Edit’ if you want to edit a profile.

Note that changes made to a work hour profile are retroactive. Should an employee's employment terms change, it is more convenient to add an end date to their current work hours profile. You will be able to assign a new profile that reflects their new terms from a specific date.

How to assign a new work hours profile to an employee who has already been assigned another profile.

When an employee's terms of employment change, you can assign a new profile to the employee that takes effect when their current profile expires. Here's how it works:

Start by setting an end date for their current work hours profile. You can do this by opening their profile, selecting “Overtime bank,” and clicking “Edit. From here you can add an end date to their active work hours profile.

Next, you can select or create a new work hours profile that reflects their new employment terms. The new profile will become active once the end date of their current work hour profile is reached.

Can I assign the same work hours profile to multiple employees?

Yes, if several employees have identical employment terms, you can assign the same profile to those employees.

Can I remove a work hours profile from an employee's profile?

Yes. If you open an employee's profile and click on the bank 'Overtime bank', you can unassign their current profile or specify an end date. ‘How to assign a new work hours profile to an employee who has already been assigned another profile.’ explains how you can assign a new profile if their terms of employment change.

Can I delete a work hours profile?

It is not possible to delete a profile, you will however be able to archive a profile. Here’s how it works:

  • Find the work hours profiles in the settings menu under ‘Time tracking’

  • Click on ‘Manage profiles’ to open the list with your profiles

  • To archive a profile, click ‘Edit’ below the profile you want to archive, and click on the orange button in the top right corner of your screen.

Note that employees who are assigned to the profile will remain assigned. If you want to unassign the profile, you can click on 'Assigned employees' at the bottom of the screen and unassign them from here.

Can I restore a deleted/archived work hours profile?

Yes. You can unarchive work hours profiles at any time.

The employment conditions of one of my employees are changing and their current work hours profile does not reflect their new working conditions. What should I do?
