OnlinePOS - POS integration

This guide explains how to activate the integration with OnlinePOS and how it works.

Updated over 3 months ago

This guide provides everything you need to know about the integration between OnlinePOS and Workfeed. The integration itself is very simple, but naturally, some questions may arise along the way. You can find answers to all your questions below!

How the integration works

Once you've activated the integration between OnlinePOS and Workfeed, your sales data will automatically be sent from OnlinePOS to Workfeed. This allows you to view your sales and labor costs in real-time directly in Workfeed, while also gaining deeper insights. Once you’ve accumulated enough sales data, Workfeed will also provide sales forecasts based on historical patterns, taking factors like the weather into account. The combination of OnlinePOS and Workfeed enables you to plan more accurately.

Activating the integration

To set up the integration, you need to contact OnlinePOS and say:

"I would like to set up an integration between Workfeed (Relion) and OnlinePOS. I need my Customer Number and an API token. Remember to set the call/hour limit to 500."

Afterward, send both the customer number and token in the chat, and we’ll take care of the rest.

PS: You will need your terminal ID(s) to match with the departments in Workfeed, so it's a good idea to have OnlinePOS provide this information at the same time.

Once the integration is activated, make sure to check if POS data is enabled in the schedule interface settings, which can be found by clicking on the '👁️' icon.

If you have multiple departments, you can match which data is displayed where in Workfeed. You can do this under "Settings" > "Integration" > "OnlinePOS" > "Match Departments." Here you can match your Workfeed department with the desired OnlinePOS terminal ID.

Benefits of the integration

When you integrate Workfeed with your POS system, Workfeed will automatically pull your sales data from the POS system in real-time and visualize it within the schedule. By clicking on the sales figure, you can dive deeper into your sales data with insights such as:

  • Your real-time sales

  • Sales comparisons with similar days

  • Sales distribution throughout the day (total per hour)

  • Average revenue per guest (requires a table booking integration)

  • Average revenue comparisons with similar days

Having this data at hand allows you to create schedules that match the expected revenue on a given day. At the same time, you can keep an eye on your labor costs to ensure you stay within your budget.

FAQ

  1. What data does Workfeed retrieve from my OnlinePOS account?
Workfeed retrieves every transaction from the associated OnlinePOS account.

  2. How often does Workfeed retrieve data from OnlinePOS?
Your POS data is continuously updated in Workfeed, meaning the data you see in Workfeed is in real-time.

  3. I don’t see any sales data in my Workfeed account, why?
    There can be several reasons:

    • First, check if the integration has been correctly activated. You should be able to see this if you go to settings > integrations > and see "integrated" in green next to the OnlinePOS logo.

    • If the integration is correctly activated, you should be able to see sales data on days where data is present in your OnlinePOS account. Data will only be visible on past days or on the current day if there are transactions available.

    • If you don’t see any data but the integration is activated, you can check whether you see transactions in the linked OnlinePOS account. If so, please contact our support team via the chat on our website.

  4. I only see data in the dashboard view and not in the schedule view, why?
If you don't see the data in the schedule view, make sure to check if POS data is enabled in the schedule interface settings, which can be found by clicking on the '👁️' icon.

  5. The data in Workfeed doesn’t match my OnlinePOS account, why?
By default, Workfeed cuts the day at 24:00, while OnlinePOS may have a different cut-off time. If you have revenue after midnight, we can shift the day to align with your opening hours - just contact us in the chat if you want this adjustment.
