It's important to understand the difference between submitting Availability and Time Off
Availability: This is like telling your boss when you can't work because you have other things to do, like school or another job. Imagine saying, "I can't work on Mondays because I have soccer practice."
Time Off: This is when you ask for a special break, like a holiday or a day off for your birthday. It's like asking, "Can I have next Friday off to go on a family trip?" See this guide to learn how to request time off
How to share your availability
As an employee, you can easily view, add and edit your wishes on the "Wishes" page. You can do it both on your phone and on a computer.
Open Workfeed.
Tap the ♥️ icon in the bottom menu. On a computer, you find the ♥️ icon in the top menu.
The "Wishes" page opens.
At the top you can switch between "Month" and "Week". "Month" gives you an overview of the whole month. In "Week" you can see and edit your wishes day by day.
How to add a wish
Pick 👍 or 👎 at the top of the page.
Tap a day, or drag across it to choose a specific time range.
Tap a wish to edit it. Here you can choose "Can't work" or "Can work", turn "All day" on or off and change "Time".
You can also drag a wish to move it.
To remove the wish, tap the trash can.
What do the wishes mean?
Tap "?" in the top right corner of the "Wishes" page to see the explanation "How wishes work".
No wish: You are available.
Red 👎 "Can't work": You can't work that day or in the chosen time range.
Green 👍 "Can work": You can work that day or in the chosen time range.
The ring around the date: It sums up the day. If the ring is both red and green, you have different wishes during the day.
Locked days: Past days and shift days are locked for employees.
Remember: Wishes guide planning, but aren't promises.
How to repeat a wish
If you have fixed days when you can or can't work, you can repeat the wish.
Tap the ring next to the day, or tap a wish and choose "Repeat wish".
Under "Every" and "On", choose how often and on which weekdays the wish should repeat.
Choose "Starts" and "Ends". In "Preview" you can see which days it applies to.
Tap "Save".
Repeating wishes are marked with a small icon with two arrows.
How the manager sees the wishes
As a manager, you can see your employees' wishes directly from the schedule.
Open "Schedule".
Click the field with 🌴 👍 👎 next to the week number. The numbers show how many have leave, can work and can't work that week.
A panel opens on the right. Here you see a ring for each day next to each employee. Green means "Can work", red means "Can't work". Click the arrow on the edge of the panel to expand the view.
In the large view you can see several weeks at a time. Hover over a ring to see the exact wish and when it was last updated.
FAQ
How is my availability presented to my manager?
When you enter your preferences, it will be visible to your manager when he or she is deciding who to assign to shifts. Furthermore, the manager gets a warning if they try to schedule you on a day when you asked not to work.
Can I set my availability differently for different departments?
No, you can’t set different availability preferences across departments. Your availability is tied to you as an employee, not to the specific departments or roles you’re assigned to. This means that if you indicate you can work on a specific day, it will apply to all departments you belong to.
Can I set recurring availability?
Yes. Tap the ring next to the day or "Repeat wish" when you edit a wish. Then you can choose which days the wish should repeat on.
Do I get shifts on days where I haven't set any preference?
Yes, you might. No wish means that you are available. The best way to make sure you get the shifts of your preference is to keep your availability updated.
Am I guaranteed a day off if I indicate I can't work?
As a supplier of the software, we can't guarantee that your preferences are always met. At the end of the day, it depends on your shift manager and how your workplace is operated.
How should I differentiate between preferences and shift requests?
The heart icon (♥️) is designed solely for setting availability preferences, whereas specific shifts should be requested through the "Available Shifts" section on the homepage. Using the heart icon incorrectly may result in an unintended leave request notification being sent to the manager.
