There are three ways to assign leave to an employee: from the availability list, the schedule view, and the leave calendar.
Assigning leave from the availability list
When you open the availability list by clicking ‘🌴👍👎’ in the top left corner of the schedule view, you can create leave for any employee by clicking a day next to their name.
Assigning leave to an employee from the schedule view
This method of assigning leave is especially useful when you’re assigning leave to an employee who is scheduled to work, such as sick leave. When you right-click a shift where an employee is assigned, click ‘Add leave’.
Assigning leave from the leave calendar
By clicking ‘Schedule’ in the top-left corner of the dashboard, you can select ‘Leave’ from the list. This opens the leave calendar, where you can create leave for any employee by clicking a day in the calendar. After clicking a day, you can create the leave in the same way as in the schedule view.
Leave settings
When you click ‘Add leave’, you can adjust the leave to match the specific situation. Here, you can choose the period, employee, leave type, leave bank, note, and whether overlapping shifts should count as paid or unpaid hours.
Start and end time
Choose when the leave should apply from and to. You can either select ‘All day’ or enter a specific time period.
Employee
Select which employee the leave should apply to.
Type of leave
Choose which type of leave should be registered. For example, this could be sickness, holiday, or another custom leave type.
Leave bank
This setting is used if you have activated a leave bank and want to control how the leave should affect the employee’s leave balance.
Work hours profile
The leave is registered based on the expected working hours defined in the employee’s work hours profile. The hours are then deducted from the employee’s leave bank.
Custom
You choose how many hours should be deducted from the employee’s leave bank.
No hours
No hours are deducted from the employee’s leave bank.
Note
Optionally, add a note that describes the leave or provides extra context.
Paid or unpaid leave
Choose how the leave should affect any shifts that overlap with the leave period. Here, you can choose whether the overlapping shifts should still count hours or not. This affects whether the employee gets paid for the shift, even though leave has been registered.
Once you have adjusted the leave as needed, click ‘Add leave’ to save it.
