How to set up unpaid breaks and rules for breaks

This article explains how you can set up automated unpaid breaks for your employees' shifts.

With Workfeed, you can easily implement unpaid breaks, meaning breaks the employee pays for, using our break feature. Here, you can:

  • Set minute-specific breaks on individual shifts.

  • Create a general break rule to reduce manual work.

  • Get an overview of how much break your employees have taken using the time clock or clock-in/clock-out time registration.

Setting up unpaid breaks

If you want to deduct breaks based on the number of hours your employees are working, you can enable unpaid breaks. Once you've configured the unpaid breaks, Workfeed automatically deducts the break time from the total time of the shift.

You can manage unpaid breaks from the time tracking settings:

  1. Open the settings by clicking on the '⚙️' icon.

  2. Select 'Time tracking'.

  3. Choose 'Unpaid breaks' and click 'Set' to enable unpaid breaks.

Configuring the unpaid breaks

Once you click on 'Set' on the right edge of the box, you start configuring your unpaid breaks. Here, you can:

  1. Determine how much break time an employee gets when the number of hours below is worked, e.g., 30 minutes.

  2. Determine below how many hours an employee has to work to earn the 30-minute break.

  3. Determine if the unpaid break should be applied as an incremental or fixed rule. E.g., by choosing 'incremental', the employee would receive a 30-minute break on a shift every time there's been worked for 4 hours. So if the employee has worked for 8 hours, the employee would then receive a 1-hour break in total. By choosing 'fixed', the employee would receive a 30-minute break regardless of the total length of the shift, as long as there's been worked for at least 4 hours.

Adjusting breaks manually

If you need to adjust an automated unpaid break, you can do this by first going to the shift with the break you want to adjust in the schedule. From here, you should:

  1. Click 'Edit shift'.

  2. Click the summary of the shift length, where it will say 'Total X h X m' in blue colour.

  3. Then, you can type in the corrected break length and click 'Save'.

Once you have made your changes, the break will go from blue to orange. In this way, it's easy to spot if the break is automated or manually adjusted. If you regret the changes and want the automated break rule to apply again, just click on the blue arrow to the left of 'Break in total'.

FAQ

  1. Can my employees change their break time for their shifts?

    Yes, you can let your employees change their break time for their shifts. Go to 'Settings', then choose 'Time clock' and enable 'Allow employees to edit their break'. The adjusted time will be sent by you for approval. Similarly, your employees can also adjust their break time when clocking out of their shift.

  2. Can my employees clock in and out for breaks with the time clock?

    Yes, you can enable the setting 'Check in and out of breaks during the shift' to let employees clock in and out of breaks using the time clock. Go to 'Settings', choose 'Time clock', and enable the setting from there.

  3. Do the unpaid breaks automatically apply to shifts made before setting up the break rule?

    No, when you set up an unpaid break rule, the shifts that were made before this will not apply automatically. You will therefore have to go back and adjust the breaks manually. The same goes for shifts in a template. If you would like to make sure that the break applies here, you will need to make a new template from scratch.

  4. Can I set up paid breaks for my employees?

    No, it's not possible to set up paid breaks at the moment.
