Setting up the integration
Make sure your employees are created in Danløn.
Go to "Settings" > "Integrations" > "Open payroll integrations".
Select Danløn.
Click "Yes, connect".
Log in to Danløn and give Workfeed permission to send data.
You will be redirected back to Workfeed, where you need to match employees.
Workfeed automatically tries to match employees based on email and name, but you can also match them manually.
Note: It is important that all employees are either matched or ignored. Hours are only sent for matched hourly-paid employees. Ignored users, salaried employees, and users without an hourly wage are not sent to Danløn.
When you add new employees, open the Danløn integration again and click "Match users".
Importing employees from Danløn
Open the team list.
Click the blue "➕" in the top-right corner.
Select "Import".
Choose which Danløn integration you want to import from.
Choose whether the employee should receive an email invitation immediately.
Send hours to Danløn
Go to "Time tracking".
Select the period you want to export hours for.
Review hours, supplements, and employees.
Approve any changes if you use the time clock.
Click "Export...".
Select Danløn as the payroll integration.
Choose which pay code the base salary should be sent to. If you do not have a preference, we recommend T4.
Check that the employees are matched correctly.
Specify whether a deduction should be applied.
Click "Continue to payroll export".
Click "Send to Danløn".
If you do not approve time clock entries before exporting, the scheduled hours will be sent to Danløn.
Find the hours in Danløn
Once the hours have been sent from Workfeed, they need to be imported into Danløn.
The hours are first made available in Danløn so you can review them before importing them permanently.
Export errors – check this before contacting support
If the export fails or the hours look incorrect in Danløn, it is often caused by one of the following:
Hours or supplements look incorrect in Workfeed
What you see in Workfeed is what is sent to Danløn. Always check hours, breaks, supplements, and payroll settings first.
Employees are not matched correctly
Open the user matching in the Danløn integration and check that all relevant employees are matched to the correct person in Danløn. Employees who should not have payroll data sent must be marked as "Ignore".
The employee is missing an hourly wage in Workfeed
Check the employee's profile in the team list under "Edit profile" > "Pay". Hours are not sent for employees without an hourly wage or for salaried employees.
The pay code on a supplement is incorrect
If you use custom pay codes for supplements, they must exist in Danløn. If the field is left empty, supplements are grouped and sent to T5 by default.
I get a message saying data has already been transferred. What should I do?
Go to Danløn > "Import from integration" and select a broad date range. Then delete the data that is ready for import so the error does not occur again.
Danløn shows an error during import
Download the backup file from Workfeed and upload it manually in Danløn via "Payroll" > "Import from file". Danløn will often display a more specific error message, for example if a pay code does not exist or the CVR number is incorrect.
If you contact support, it is helpful to include the error message from Danløn as well as the backup file from Workfeed.
Supplements and deductions
Regular hours are sent to T4 by default unless you select another pay code during export.
Supplements are grouped and sent to T5 by default. If you want to send supplements to specific pay codes, enter the pay code on the supplement in Workfeed.
You can also add deductions per shift in the Danløn integration, such as meal deductions. Enter the rate and pay code before exporting.
Download a Danløn CSV file
You can also download the hours as a CSV file and upload them manually to Danløn.
Go to "Time tracking".
Click "Export...".
Select the Danløn integration.
Click "Continue to payroll export".
Download the backup file for Danløn. Do not open the CSV file before uploading it to Danløn, as this may change the file format.
Upload the file in Danløn via: Danløn > Payroll > Import from file.
FAQ
Which employees are hours sent for to Danløn?
Hours are sent for matched employees with an hourly wage. Hours are not sent for employees who are not matched, are ignored, do not have an hourly wage, or are salaried employees.
Do employees need to be created in both systems?
Yes. The employee must be created in Danløn and correctly matched in Workfeed.
Can I send hours from one Workfeed account to multiple Danløn accounts?
Yes. You can set up multiple Danløn integrations and choose which departments or employees you want to export for.
Can I change the pay code for hourly wages?
Yes. You select the pay code during export. If you do not select another one, we recommend T4.
Can I change the pay code for supplements?
Yes. You can enter a pay code on each supplement in Workfeed. If the field is left empty, supplements are grouped and sent to T5.
What happens if I do not approve time clock entries?
If time clock entries are not approved, Workfeed sends the scheduled hours.
How do I include my accountant?
Create the accountant as a user in Workfeed and give them access to the relevant features. It is helpful if the accountant has access to both Workfeed and Danløn.
