With the e-conomic Løn integration, you can export hours, supplements, deductions and tips from Workfeed as a CSV file. You then import the file into e-conomic Løn.
Set up the integration
Make sure the employees have been created in e-conomic Løn.
Go to Settings > Integrations and click "Open payroll integrations".
Select "e-conomic Løn" under "Set up new payroll integration".
Enter the employee number from e-conomic Løn next to each employee who should have hours exported. Tick "Ignore" next to the employees who should not be included.
Click "Complete".
Hours are only exported for employees with an employee number and an hourly wage in Workfeed. Ignored employees and salaried employees will not have hours exported.
When you get new employees, open the integration again and select "Open user matching".
Enter the pay code for hourly wage
e-conomic Løn has no fixed pay code for regular hourly wage, so you need to enter the pay code you use in e-conomic Løn yourself. You will find the field under "Pay code for hourly wage" in the integration.
If an employee has a wage profile with its own pay code, the pay code from the wage profile is used instead.
Supplements, deductions and tips
Supplements
If a supplement should be exported to a specific pay code in e-conomic Løn, enter the pay code in the "Pay code (For payroll integration)" field on the supplement in Workfeed.
Deduction per shift
With deductions, you can deduct a fixed amount from the salary for each shift, for example for meals. Tick "Deduction per shift" and fill in "Rate per shift" and "Pay code". If you leave the rate empty, 20 DKK per shift is used. With "Shift Filter", you can choose which shifts the deduction applies to.
Tips
If you use tip pools, you can tick "Tip pools" and enter the pay code the tips should be exported to.
Export hours to e-conomic Løn
Go to Time tracking.
Select the period you want to export. If your pay period is set up, you can select "Last pay period".
Review hours, supplements and employees.
Approve any changes if you use the time clock.
Click "Export..." and select your e-conomic Løn integration.
Check the user matching and click "💰 Continue to payroll export".
Check the period and departments, and click "Export to e-conomic Løn".
Workfeed now downloads a CSV file to your computer. If you do not approve the employees' registered times before exporting, the planned hours are included in the file. Once the times have been approved, the approved hours are included.
Import the file into e-conomic Løn
Log in to e-conomic Løn.
Go to the payroll data import and select the CSV file from Workfeed.
Check the lines and approve the import.
Avoid opening or editing the CSV file before importing it, as this may change the file format.
The file has the columns Medarbejdernummer, Lønkode, Antal and Beløb (employee number, pay code, quantity and amount). Each employee gets one line per pay code, so hours and supplements with the same pay code are added together for the whole period.
Export errors
If the import fails, or the numbers look wrong in e-conomic Løn, you should check the following:
Check the data in Workfeed
What is shown in Workfeed is what gets exported. Therefore, check hours, breaks, supplements and wage settings first.
Check the employee numbers
Open the integration and check that all relevant employees have the correct employee number from e-conomic Løn. Employees without an employee number are not included in the file.
Check the hourly wage
Employees must have an hourly wage in Workfeed to have hours exported. You will find the wage under Team > employee > "Edit profile" > Wage.
Check the pay codes
The pay codes for hourly wage, supplements, deductions and tips must exist in e-conomic Løn.
FAQ
Who gets hours exported to e-conomic Løn?
Employees with an employee number and an hourly wage in Workfeed. Hours are not exported for employees who are missing an employee number, are ignored, have no hourly wage or are salaried.
Does the employee need to exist in both systems?
Yes. The employee must be created in e-conomic Løn, and the employee number must be entered next to the employee in Workfeed.
What happens if I do not approve clocked times?
Then the planned times from the schedule are included in the file instead.
What happens if I import a file for the same period again?
Each employee only has one line per pay code in the file. If you import a new file, it replaces the lines for the same employees and pay codes.
Can Workfeed send the hours directly to e-conomic Løn?
No. The integration creates a CSV file that you import into e-conomic Løn yourself.
How do I give my bookkeeper access?
Create the bookkeeper as a user in Workfeed and give access to the necessary features. It is an advantage if the bookkeeper has access to both Workfeed and e-conomic Løn.
