How to use channels

Create channels where members come and go automatically, for example a team chat or a notice board.

Channels are conversations in the chat where members come and go automatically. You choose who should be in the channel by department, role or name. When an employee starts, leaves or changes position, the channel updates by itself.

A channel can for example be used as:

  • Team chat: Members talk about everyday things.

  • Notice board: Managers and moderators share news, rules and routines. Members can read and react, but not write new messages.

  • Something else: You choose what members can do.

Channels are part of Workfeed Pro+. Admins can create channels. Other users can create channels for the departments where they have the "Create channels" permission.

How to create a channel

Click the paper plane icon in the top right corner, and then click the pencil icon. Choose "Create a new channel".

Step 1: What is the channel for?

Choose "Team chat", "Notice board" or "Something else". Under "What members can do" you can see and change whether members can send messages, react and reply in threads. These settings don't apply to admins and moderators, who always have full access. Click "Next".

Step 2: Members

Choose who should be in the channel:

  • Selected employees: Add departments, roles or employees under "Who's in". Under "Leave out" you can choose people who should not be in the channel.

  • Everyone: All employees are in the channel, including new hires.

At the bottom you can see how many members the channel will have. Click "Next".

Step 3: Channel name

Write a name, or choose one of the suggestions, for example "Notice board" or "Announcements". Choose an icon and color, and click "Create".

How to use a channel

The channel is in your chat list together with your other conversations. You can write messages, attach files and shifts, react and reply in threads, just like in a group chat. In a notice board, only admins and moderators can write new messages.

The "All" channel is a channel for the whole company.

How to edit a channel

Click the channel name at the top of the channel. Under "About" you can click "Edit" to change:

  • Name and icon

  • What members can do

  • Owner and moderators

Here you can also click "Transfer ownership" or "Archive channel".

Under "Members" you can see who is in the channel. Click "Edit" next to "Who's in" to change departments, roles and employees.

Archived and empty channels

When you archive a channel, it is hidden from all members. Nothing is deleted, and you can restore it at any time.

Click "Chat" at the top of the chat list to see:

  • Archived channels: Here you can restore a channel with "Restore".

  • Empty channels: Channels without members, for example because no employees match the channel's departments and roles anymore. Only admins can see them.

FAQ

  1. What is the difference between a group chat and a channel?

In a group chat you choose the members yourself, and they don't change automatically. In a channel, members come and go automatically by department, role or name, and you can decide what members are allowed to do.

  2. Can I use a channel as a notice board?

Yes. Choose "Notice board" when you create the channel. Then only admins and moderators can write new messages, while members can read and react.

  3. What happens when a new employee starts?

If the employee matches the channel's departments and roles, or the channel is for "Everyone", the employee automatically becomes a member.
