Learn how to set up the integration with Fortnox in Workfeed.

The integration will allow you to seamlessly export working hours from Workfeed directly into Fortnox with just the click of a button. Only users with Admin access can set up integrations in Workfeed.

How to enable the integration between Workfeed and Fortnox

To enable the integration you will have to enter the settings menu and choose "Integrations". To open settings, press the "⚙️" symbol in the top right corner of your screen.

Scroll down and locate Fortnox. Once you have found it, press "Begin integration".

Workfeed will now ask you if you wish to connect Workfeed to Fortnox, simply press "Yes, connect" to continue.

You will now be redirected to Fortnox, please log in to your Fortnox account.

After signing in, you will be asked to give Workfeed access to Salaries or "Lön" in Fortnox. Allow access to continue.

After you have allowed access you will automatically be redirected back to Workfeed and Workfeed will begin matching Workfeed users with Fortnox users.

In order for Workfeed to identify the users from Fortnox it is important to keep the following things in mind:

  • Users in Workfeed and Fortnox need to have the same name.

  • The employment date for a user in Fortnox needs to be earlier than the date you started using Workfeed.

If you have a user in Workfeed that does not exist in Fortnox, you can click on the drop-down menu next to the user and choose to ignore the match.

When you have made sure that every user has a match, choose to complete.

Now you have successfully enabled the integration and next to the integration, you should see the text "Integrated" highlighted in green.

Exporting data to Fortnox

When the integration is set up it is now possible to send time tracking data straight to Fortnox. Worked hours and supplements will be automatically included when exporting.

To export data to Fortnox you need to head over to the time tracking module.

When you have entered the time tracking page, you will be able to see a summary of all worked shifts and hours per employee.

Before exporting, please choose which data you want to export. You can filter by department and roles and set a time interval. This can be done in the top left corner of the page.

When you have chosen a time period and filtered out roles and departments you can now click on the blue button "Export" In the top right corner of the time tracking view.

Before you send data to Fortnox, make sure the following requirements are met.

  • The period has ended

  • Correctly integrated with Fortnox

  • No one without an hourly wage

  • No changes awaiting approval

You can now choose to export to Fortnox.

FAQ

My users did not match automatically, what do I do?

You can try and match the users again manually. Open the settings menu and find the Fortnox integration in the "Integrations" section. Click on "settings" and you will see two alternatives: "Match users again" and "Remove integration". Please click "Match users again" to run the matching process again.

Why are some hours missing for some users after I exported?

In this case, you can simply try to export again. Under the export button, you can see the status of how many shifts have already been exported during this period.

I have multiple Fortnox accounts, can I connect Workfeed to more than one?

You can not connect one Workfeed account to multiple Fortnox accounts at once.

However, you can create the integrations on separate Workfeed accounts.
