This article explains how you can export your employee's working hours to your payroll system as an admin.

How to export hours to your payroll system

Workfeed makes it easy to export all worked hours directly to your payroll system at the end of each payroll period. We offer two different ways to export hours to your payroll system. You can either send the hours directly to your payroll system (if supported) or download an Excel file in your payroll system's preferred format. Both export options are available from the Timesheets overview by clicking Export... in the top right corner of the screen.

Please note that both options are only available if Workfeed integrates with your payroll system and the integration has been activated on your account.

Exporting hours directly to your payroll system

To export hours directly to your payroll system, follow these steps:

  1. Switch to 'Timesheets' in the top left corner of the schedule.

  2. Click 'Export...'.

  3. Click the blue 'Select payroll integration' button.

  4. Select your active payroll integration from the panel on the right.

  5. Choose '💰 Continue to payroll export' once everything looks correct.

Exporting hours to an Excel file in your payroll system's format

There are two ways to export your hours to Excel, depending on your payroll provider. The export process works slightly differently if your integration allows you to send hours directly to your payroll system compared to integrations that only support exporting custom Excel files.

Downloading a custom Excel file

If your payroll system only supports exporting using a custom Excel file (or if you simply want to save a copy of the hours as an Excel file), click 'Export...' and then click 'Save Excel file'. Your Excel file will be downloaded immediately, and you will be able to save it to your device.

Downloading your payroll provider's Excel file

Depending on your payroll integration, you may also be able to download an Excel file directly from the payroll integration. This file is most commonly referred to as a 'backup file' and is used if the automatic payroll export fails. If your payroll integration supports this, follow these steps:

  1. Switch to 'Timesheets' in the top left corner of the schedule.

  2. Click 'Export...'.

  3. Click the blue 'Select payroll integration' button.

  4. Select your active payroll integration from the panel on the right.

  5. Click 'Download backup file for X'.

You can then manually upload the backup file to your payroll provider, identify the issue, and ensure a successful payroll export.

  1. How does the integration between my payroll system and Workfeed work?

  2. My direct payroll export is failing. What could be wrong?

    There can be several reasons why a payroll export fails, and we recommend following the guide for your payroll provider, which you can find via the link above. One common requirement across all integrations is that employees must exist in both Workfeed and the payroll system, and they must have a pay rate entered on their profile. Read more about pay here.

  3. Will archived employees' pay be exported to my payroll system?

    No, pay for archived employees is not exported to your payroll system. Only active employees in Workfeed can be matched through the integration and exported. However, once an employee has been archived, their hours can still be viewed in Timesheets. They will simply have a cross next to their name. This means that pay for archived employees must be transferred to the payroll system manually.

    If you do not want to see employees without hours in the selected period, click the 'eye' 👁️ icon on the right and disable 'Show employees without shifts'.

  4. Will the pay for monthly salaried employees be exported to my payroll system?

    No, hours for monthly salaried employees are not exported automatically to your payroll system. You will therefore need to enter the pay for monthly salaried employees manually in your payroll system.
