How to import an existing schedule

This article explains how to upload a schedule you already have, for example from an Excel spreadsheet, a handwritten schedule, or another system.

New company or department

Select the department you want to import the schedule to. Click 'Import schedule' on the right-hand side. If you don't see the button, you'll find it under the three dots on the right.

What can you upload?

  • An export from another system: Excel, CSV, TXT, or PDF.

  • A photo or screenshot of the schedule: JPG, PNG, HEIC, and more.

An export file gives the best result, but a clear image works too.

Review "Here's what we imported" and check the number of shifts, weeks, employees, and roles.

  • Correct the names and roles if anything was imported incorrectly. Existing employees and roles are automatically reused and are never overwritten.

  • Click "Create draft".

What does my draft contain?

  • The shifts are created as unpublished.

  • New employees and roles are created immediately. Employees only get access when you invite them.

  • If a shift is missing a start or end time, we apply a default duration, which you can adjust in the schedule.

  • If we couldn't read any times for a shift, it won't be created. You can add it yourself.

FAQ

  1. Can my employees see the imported shifts immediately?

    No. The shifts remain "unpublished" until you publish them.

  2. Can a manager import a schedule?

    No. Importing is only available to administrators.

  3. How much can I import at once?

    Keep it to a few months per file. If the export covers a very long period or the file is too large, we'll ask you to split it into multiple files.

  4. What should I do if the file can't be read?

    Try a clearer image, a screenshot, or an export file. If the file is password-protected, you'll need to export it again without a password.
